Important notice about your radiotherapy treatment service provider

Your radiotherapy treatment at Bupa Cromwell Hospital will be provided by GenesisCare from 27th August 2019.

As a patient currently receiving treatment from the radiotherapy department, this notice explains what will happen to your information during this transfer and where you can find more information.

Will my treatment be disrupted?

Many of the staff who work within and for the radiotherapy department will move over to GenesisCare. Your care/treatment will therefore be provided by the same committed and well qualified Consultants and health professionals within the radiotherapy department.

After 27th August 2019, it will be business as usual and any appointments which you have booked will proceed as planned.

GenesisCare has a strong track record in providing cancer services in the UK, Spain and Australia. Both Bupa Cromwell Hospital and GenesisCare’s overriding interest is that you continue to receive safe, effective and high quality treatment, therefore, all efforts have been made to ensure this is a smooth transition.

How do I contact the radiotherapy department after 27th August 2019?

The contact details for the radiotherapy department on and after the 27th August 2019 will be;

The existing Bupa Cromwell Hospital radiotherapy email address will remain accessible to the now GenesisCare radiotherapy staff to ensure all emails are managed. You therefore do not need to resend any emails to the new email address.

What will happen with my records?

Bupa Cromwell Hospital currently maintains records relating to the care and treatment which you receive from the radiotherapy department. This is held both in paper and electronic format and includes:

Standard personal information, including:

  • Your name, contact information, demographics, next of kin and your GP’s information;
  • Details of your referral;
  • Information concerning your appointments;
  • Copies of your patient consent form(s); and
  • Your payment and billing information.
  • Diagnosis and treatment

Special category information, including:

  • Information concerning your pre-treatment assessments;
  • Details of your diagnosis, treatment and plans; and
  • Images, reports and results.

This information will be securely transferred to GenesisCare on 27th August 2019 to ensure continuity of care and treatment. This will ensure a complete record of your radiotherapy treatment continues to exist to support clinical decision-making and treatment both now and in the future.

Bupa Cromwell Hospital will also retain relevant information within the main hospital record so that any other departments within the Bupa Cromwell Hospital who are also involved in your care have access to relevant information about your health and to ensure compliance with any laws and regulations that apply to Bupa.

How will my privacy and information rights be maintained?

The lawful basis for processing your information in this way under applicable law are:

  • where you are a self-pay patient, the processing is necessary for the performance of a contract; or
  • where you are an NHS patient or you are funding the treatment through your private medical insurer, the processing is necessary for legitimate interests.

In relation to your special category information (this refers to your sensitive information such as information relating to your health), the lawful basis for processing your information in this way under applicable law are:

  • it is necessary for the purposes of preventive or occupational medicine, to assess whether you are able to work, medical diagnosis, to provide health or social care or treatment, or to manage health-care or social-care systems (including to monitor whether we are meeting expectations relating to our clinical and non-clinical performance); and
  • the processing is necessary for reasons of public interest in the area of public health, such as protecting against serious cross-border threats to health or ensuring high standards of quality and safety of health care and of medicinal products or medical devices.

Your rights

Your rights You have various rights available to you under applicable law (certain restrictions apply), including:

  • Right to access and ask for a copy of your information;
  • Right to have your information rectified or made complete;
  • Right to request the restriction on the processing of your information;
  • Right to be told about the collection and use of your information;
  • Right to request the erasure of your personal information;
  • Right to object to the processing of your information; and
  • Right to request that we transfer the information you gave us to another organisation.

Please note, certain rights are not absolute: they do not always apply in all cases and you will be informed as to the extent to which your request will be complied.

If you make a request, you will be asked to confirm your identity if necessary, and to provide information to enable your request to be understood better. If your request is unable to be met, this will be explained to you.
